Outpost Property Management Ltd.
RENTER REQUIREMENTS
The person placing the reservation must be the same as the credit cardholder. This person is considered to be the guest. All other persons involved with the rental are considered to be the guest's invitees, and all discussion regarding reservation, cancellation, and damage policies will be discussed with the guest, not the guest's invitees.

PAYMENT PROCEDURE - Reservations made before Aug 2, 2023 
  • 45 days before the arrival - 25% of the reservation total will be due. 
  • 30 days before the arrival - the remaining balance will be due.
PAYMENT PROCEDURE - Reservations made on or after Aug 2, 2023 
  • 60 days before the arrival - 25% of the reservation total will be due. 
  • 45 days before the arrival - the remaining balance will be due.
CANCELLATION POLICY - Reservations made before Aug 2, 2023 
  • 100% refund if cancelled at least 45 days before the arrival date.
  • 75% refund if cancelled at least 30 days before the arrival date.
  • No refund or credit if cancelled less than 30 days before the arrival date.
CANCELLATION POLICY - Reservations made on or after Aug 2, 2023 
  • 100% refund if cancelled at least 60 days before the arrival date.
  • 75% refund if cancelled at least 45 days before the arrival date.
  • No refund or credit if cancelled less than 45 days before the arrival date.
Refunds will not be issued for any reasons out of Outpost's control such as, but not limited to, bad weather, poor road conditions, snow conditions, power outages, forest fires, flooding, war, terrorism or pandemic.

Outpost has partnered with Rental Guardian to provide guests with an option to purchase travel insurance to protect against unforeseen circumstances. Please contact an Outpost reservation agent to get more information about travel insurance options.

ACCIDENTS/DAMAGE POLICY
We know, accidents happen! As part of booking with Outpost, you will be charged a one-time fee that provides guest protection from accidental damage that may occur during your stay. The chart below outlines that cost and coverage per this Accidental Damage Protection Plan. Coverage is provided for things such as carpet spills, broken glasses or kitchenware, and stains on furniture. In order to be covered by this plan, the damage must be accidental and it must be reported to Outpost within 24 hours of your departure. The Accidental Damage Protection Plan does not cover intentional damage or negligence to the property.

A damage pre-authorization will be taken one day prior to the arrival and Outpost reserves the right to capture any and all of the pre-authorized amount for losses and damages sustained to the vacation property by negligence or intentional damage duration Guests occupancy. This is including, but not limited to excessive cleaning, fines/assessments, repairs, or replacements. In the case of accidental damage, if further funds are required beyond Outpost's Accidental Damage Protection Plan coverage to pay for the remaining repairs, the guest pre-authorization may be used. The pre-authorization amount depends on the property size:

Should any of the aforementioned costs exceed the pre-authorized amount, Outpost reserves the right to charge any additional amount to cover the difference in total costs incurred.

UPON ARRIVAL 
If there are concerns or issues with your rental property, please contact our office immediately. No refunds or considerations are given unless we are notified of problems as soon as they arise during your stay.

All of our properties are privately owned. We do our very best to honour all bookings made but there are unforeseen circumstances where we may need to relocate guests, examples may include, the sale of a home or flood within the property. If for any unforeseen reason, the property you have booked is not available, Outpost reserves the right to relocate you to a similar property.

MINIMUM AGE REQUIREMENT 
The minimum age to make a booking is 25 years old and the person who made the booking must be present at the time if check-in and throughout the duration of the stay. Younger guests are welcome when accompanied by guardians who meet the respective age requirements.

*The minimum age to make a booking is 30 years for Cypress Chalet, Pemberton Farmhouse, Gondola Way Chalet and Ski Haus.

ARRIVAL TIME 
Check-in is at 4:00 PM except for same-day arrival bookings. Early arrival may be arranged, pending other reservations and the housekeeping schedule. Please contact us prior to your arrival to make these arrangements. Unless you have specifically arranged for an early arrival time, please do not arrive at the property before your scheduled check-in time.

SAME DAY ARRIVAL BOOKINGS
Outpost reserves the right to adjust the check-in time for bookings made on the same day as the arrival day. Depending on the time when the same-day arrival booking is made, we can push the check-in time to as late as 7:00 PM. 

DEPARTURE TIME 
Check out is at 10:00 AM. Your prompt departure is required so we can prepare the vacation rental for incoming guests. Any guests that do not vacate the property by the 10:00 AM checkout time may be charged an additional night's stay. A late departure may be arranged by calling our office directly, pending other reservations, and the housekeeping schedule. Requested late departure must be pre-approved and fees may apply.

NUMBER OF GUESTS
Guest agrees that the number of people stated on the reservation shall be the only occupants of the vacation property. The rental is not intended for parties, nor gatherings at any time of anyone except those who have paid to occupy the property. Please inform us of any change in the number of guests before your arrival so the property can be prepared appropriately for your group. 

Adults and children 13 years of age and older using pull out sofa beds will be charged an additional $35 per person per night plus taxes. 

PARKING
Unless stated otherwise, all of our properties have one free parking stall included in the rental. Please ensure you use only the areas assigned to you. Parking elsewhere may lead to your vehicle being towed at your own expense. Additional parking stalls may be available in any of the unreserved stalls/visitor parking but cannot be guaranteed - please obey signage and use at your own risk. Please note that most parking garages in Whistler do not accommodate oversize vehicles. If you need assistance finding parking alternatives for your oversized vehicle please contact us in advance. Please note that additional parking costs due to an oversize vehicle will be at the guest's expense. If you arrive and the parking stall is occupied, please contact us immediately.

If you are staying at a property located in The Aspens, The Marquise, Glacier Lodge, or Rainbow Lodge #4 paid parking is payable by the guest/invitees upon arrival.

Parking on driveways
Some of our homes offer parking on driveways in front of the houses or townhouses. Please use your discretion when parking to ensure that it is safe. We recommend that you DO NOT park in steep driveways if it is snowy or icy as vehicles can slide unexpectedly. Additionally, if you are parking in a steep driveway, we recommend using the emergency brake and parking horizontally. It is up to the guest to ensure that the conditions are safe to park.

PARKING PASSES
Parking at some properties requires parking passes provided to the guest in the property. All parking passes must be returned to the property at departure. If a parking pass is not returned, the guest is subject to a C$150 fine.

GOOD NEIGHBOUR POLICY 
Quiet hours throughout the RMOW (Resort Municipality of Whistler) are from 10:00 PM to 8:00 AM. Please respect your fellow neighbour and follow the quiet hours. Excessive noise after hours is subject to a $250.00 fine without warning. If there is excessive noise or music, any illegal activity, or evidence of a violation of these policies, you may be asked to vacate the premise without any refund and additional charges may be assessed.

NON - AGRESSIVE BEHAVIOR
All renters are expected to conduct themselves in a non-aggressive manner at all times. This includes refraining from physical or verbal violence, threats, intimidation, bullying, or any other behavior that may be considered aggressive. Renters must also respect the privacy and peaceful enjoyment of other renters and refrain from making excessive noise or engaging in other disruptive behavior. Any violation of this policy may result in immediate eviction and forfeiture of any prepaid rent or deposit. We strive to create a safe and comfortable living environment for all of our renters and appreciate your cooperation in maintaining a respectful and peaceful community.

BIKES AND SKIS IN PROPERTIES
There are absolutely no bikes permitted in our rental properties. If there is evidence of a bike found within the property you will be subject to a $500.00 fee. In addition, many complexes have regulations against having skis and snowboards in the properties, elevators, and hallways. Upon arrival please be sure to notify the front desk for options if you need ski, snowboard, and bike storage.

HOUSEKEEPING/SUPPLIES
We ensure that all our properties are fully cleaned and ready for your arrival. This includes tissue, toilet paper, paper towels, bathroom amenities, laundry, dish detergent, clean bed linens, and towels. We do not replace these items unless a mid-stay clean is requested.

LINENS & TOWELS
The linens and towels provided belong to the property. If using towels from the property at a common hot tub or pool, please be sure to return all towels directly to the property or a charge of $25.00 per towel will apply.

If you would like to have your towels replenished, please call our office to request. 

SMOKING
No smoking of any kind is permitted in the property, on balconies or patios, or on the complex property (including all outdoor common areas and pathways). “Smoking” means inhaling, exhaling, breathing, carrying, or possessing any lighted or electronic cigar, cigarette, pipe, vaporizer, joint, or other tobacco or marijuana product in any manner or in any form. This is a complex rule and violators will be subject to $500.00 fines.

PETS
No pets of any kind are permitted at the property except as specifically authorized in the property description and your reservation. If your pet is permitted in the property, a non-refundable one-time pet fee of $75.00 (plus tax) per pet will be charged for 1, 2 and 3 bedroom properties and a non-refundable one-time pet fee of $100.00 (plus tax) per pet will be charged for 4 bedroom and larger properties. Please keep your pet off of the furniture (including the couches, chairs, and beds) and pick-up and properly dispose of your pet’s excrement. If it is discovered that you have a pet in a non-pet friendly property you will be subject to a $500.00 fee. 

OUTPOST PETIQUETTE - PET FRIENDLY PROPERTIES ONLY!

We are happy to welcome your pet in our home! Please follow these house rules to ensure smooth sailing:
  • Keep pets off furniture and beds
  • Respect your neighbours, don’t let your dog bark excessively
  • Use the Outpost towel provided to wipe off wet or muddy paws 
  • Clean up after your pet with the provided poo bags
  • Dogs must be on a leash around the property
PLUMBING
Garburators are not to be used for any peelings, husks, coffee grinds or food items that would not otherwise deteriorate in water. Please do not pour grease down the drain. Do not put any feminine products or cleansing wipes in the toilet. If a clog occurs based on the misuse outlined above guests will be held liable for the cost of the plumber.
 
RIGHT OF ENTRY
Outpost may need to gain access to the property in the event of an emergency or maintenance issue. Depending on the situation, Outpost will at your invitation remedy any problem you report, at reasonable times and with reasonable notice. In the event Outpost reasonably deems an emergency in the property that threatens persons or property, Outpost will have the authority to gain access to the property without guest approval.

SECURITY & SAFETY RISKS
Always lock doors and windows when you leave the vacation rental. When you rent the vacation rental, you assume responsibility for it and its contents, as well as your personal property. Outpost does not assume any responsibility for injuries resulting from your failure to use due caution. Children must be supervised at all times. Candles are not allowed due to fire hazard. 

Guests use all private Hot Tubs at their own risk.

Please be aware of snow falling from the unit roof. Outpost accepts no liability for any accidents/injuries caused to guests while using the Hot Tub.

CHECK-OUT PROCEDURE
Upon check-out, please leave the property in the same general condition as when you arrived. Remove all food from the refrigerator and ensure dishes are left clean or placed in the dishwasher with the dishwasher turned on. Extra cleaning charges will be applied if the state of the home has been left excessively dirty. Staff will arrive shortly after your departure to thoroughly clean and inspect the property.

GARBAGE, RECYCLING, COMPOST
All garbage, recycling, and compost must be removed from the property upon departure. The RMOW (Resort Municipality of Whistler) follows strict standards with regards to proper recycling and compost. If bins are contaminated with items that are not properly sorted or compost and recycling items are found within the garbage disposal fins may be applied and guests will be held liable for these fines. Whistler is known for its wildlife but we want to keep these animals wild. Please do not leave any garbage, recycling or compost bins outside of the home (including patios and balconies). Please also be sure to clean barbecues thoroughly after use.

LIMITATION OF LIABILITY
The Property Manager acts as a rental agent only in respect of the accommodation provided and is not the owner or occupier of the accommodation. The Property Manager will make every effort to ensure that the accommodation is provided as described for the time reserved or to provide alternate equivalent accommodation. The Property Manager cannot guarantee that the accommodation will be available as reserved, as there are matters beyond its control including but not limited to loss of the accommodation by fire, flood, earthquake, or other damage, changes of ownership, termination of management services, changes in the law, or seizure or other loss of the accommodation property. Beyond a refund of all payments made, the Property Manager assumes no responsibility or liability arising out of the accommodation not being available or suitable. The Property Manager assumes no responsibility or liability for injury, loss, or damage arising out of the use or occupation of the accommodation. In agreeing to terms and conditions within this agreement you are hereby removing the Property Manager of any liabilities resulting from any amenities/liabilities such as tubs, hot-tubs, decks, slippery surfaces, ice.

INDEMNITY
You agree to hold harmless and indemnify Outpost for all losses, damages, and claims for property damage, personal injury, or monetary loss (including attorneys’ fees) resulting from your actions or omissions, and the actions or omissions of your Occupants, during your stay. All guest(s) and their invitees use the vacation property structures and premises at their own risk. Outpost and its property owners shall not be held liable or otherwise responsible in any way for injury to any guest and/or their invitees that is caused or permitted to be caused by the intentional or unintentional acts of said guest(s) and/or invitees, or by the failure of structures, appliances, (including hot tubs and BBQs) furnishings, and/or other equipment, whether by malfunction, misuse, acts of god/nature, and/or are otherwise naturally occurring. By written or electronic endorsement of this agreement, guest(s) and invitees hereby agree to forever hold-harmless and indemnify Outpost Property Management Ltd. and its property owners from and against all claims, demands, loss, liability/responsibility of any kind and character, including the cost of defense, arising out of or in any way connected with the guest(s) use of the property.
